Cancellation & Refund Policy
Clear rules for what happens if you cancel, if we cancel, or if a road, park or permit closes. If your written quote sets different terms for a booking, the quote applies.
Summary
- Cancel 30 or more days before arrival and the charge is 10% of the trip cost.
- Closer to travel the charge rises, up to 100% inside 7 days.
- If a landslide, flood, snow on Sela or a permit suspension closes part of your route, we reroute at no extra service charge or refund unused ground services that suppliers release.
- Refunds reach your original payment method within 7 to 10 working days of approval.
Booking and payment
A booking is confirmed when we receive the deposit in your quote (usually 25% to 30%) and send written confirmation. The balance is due 15 days before arrival, or 30 days for peak dates: Durga Puja weeks, 1–10 December (Hornbill Festival) and 20 December–5 January.
If you cancel
Send cancellations in writing (email or WhatsApp). Charges are a percentage of the total trip cost, counted from the day we receive your message:
| When you cancel | Charge |
|---|---|
| 30 days or more before arrival | 10% |
| 29 to 15 days | 25% |
| 14 to 7 days | 50% |
| 6 days or less, or no-show | 100% |
Some items follow the supplier’s own rules and can be non-refundable once booked: flights, trains, helicopter seats, Kaziranga safari bookings, festival-period stays (Hornbill, Ziro), non-refundable hotel rates and special permits. Your quote lists which items fall into this group.
Changing your dates
You can move your dates once without a change fee if you tell us 21 or more days before arrival, subject to availability and any price difference. Later changes are treated as a cancellation and a new booking.
Roads, weather, parks and permits
Hill roads close after landslides and heavy rain, the Tawang road can close after snow at Sela, national parks close for floods, and authorities sometimes suspend permits or issue advisories at short notice. These events are outside our control. When they happen:
- We offer the best available alternative of similar value, for example an extra day in Shillong instead of Sohra, or Dirang instead of Tawang.
- If no alternative is possible, we refund unused ground services that hotels, transporters and permit offices release, minus costs already incurred.
- Extra costs caused by a closure, such as an extra night or a longer detour, are paid locally by the traveller.
- We cannot refund sightseeing missed because an area was closed (for example Bum La after snowfall, a safari range shut for the day, or Dawki boating suspended in the monsoon).
If we cancel
If we cancel for a reason within our control, you get a full refund. If we cancel because travel is unsafe or prohibited, we refund what suppliers return to us, or hold it as credit for a later trip if you prefer.
Unused services
Services not used during the trip are not refundable. If a traveller must leave early for health reasons, we help with transport and medical support, but unused services are not refunded. We recommend travel insurance covering cancellation and medical evacuation.
How refunds are paid
Approved refunds go to the original payment method within 7 to 10 working days. Bank or gateway charges (typically 2% to 3%) and non-refundable supplier costs are deducted.
Complaints
Our Grievance Officer can be reached at [email protected]. We acknowledge complaints within 48 hours and aim to resolve them within 30 days.
